Privacy policy.

What this site collects, why, who else sees it, and how to turn it off.

Last updated

The short version

  • Analytics (Google Analytics 4) and session recording (Contentsquare) run only if you click Accept. Decline, and neither one loads.
  • When you book a call, subscribe, or email us, we get what you send: usually your name and work email.
  • Demo links and QR codes we send out are made for the person or company that gets them. When one is opened, we record it with the IP address and approximate location, and we get an email.
  • We don't sell personal information.
  • Write to founders@zynoptes.com to see, correct, or delete what we hold about you, or to stop hearing from us. We do this for anyone who asks, wherever they live.

Who we are

Zynoptes Inc. (“Zynoptes”, “we”, “us”) is a robotics software company based in the United States. This policy covers zynoptes.com, the other domains that serve this same site, and the emails, calls, demo links and QR codes that come from it.

It doesn't cover the data you work with in ZynoCode, our product. If your company uses ZynoCode, your agreement with us covers that.

Questions about this policy go to founders@zynoptes.com.

What we collect

It depends on what you do here.

When you visit

Our servers receive what any web server receives: your IP address, your browser's user agent string, and the page you asked for. We use it to deliver the site and keep it running. To stop abuse, the parts of the site that accept submissions count requests per IP address. Those counters stay in memory, reset within an hour, and are never saved.

Fonts, images and videos come from our own servers, so loading a page doesn't contact Google Fonts or a video platform. Other than Calendly's scheduler on the pages our QR codes lead to, nothing loads from a third party until you make a choice in the privacy banner.

If you accept analytics and session recording

Accept turns on two tools. Decline keeps both off.

  • Google Analytics 4 records the pages you view and how you got to them, how you use them (scrolling, and clicks such as booking a call or subscribing), and your device, browser and approximate location. Google says Analytics doesn't log or store IP addresses. Our Analytics property has Google signals turned on: if you're signed in to a Google account with ad personalization on, Google can connect this activity to that account for cross-device and demographic reports.
  • Contentsquare records how you use each page (clicks, taps, mouse movement and scrolling) so we can replay a visit and see what's confusing or broken. It never collects what you type into form fields, and it redacts email addresses shown on the page.

When you book a call

The booking form on our homepage sends your name, work email, time zone and the time you pick straight to Calendly, which books the meeting, emails you the invite, and lets us know. Our own database doesn't keep a copy. If the form opens Calendly instead, your name and email go along in the link so you don't have to type them again. What you enter on Calendly's own pages is covered by Calendly's privacy notice.

When you subscribe

We store your email address and when you signed up, and send one confirmation email. To unsubscribe, reply to any email from us or write to founders@zynoptes.com.

When you email us or send a request

We get your name, email address, company, and whatever you write. Email is kept in our Google Workspace inboxes. Requests sent through a form on this site are also saved in our database.

When we send you a demo link

Some of our emails link to a recorded demo at a personal address on zynoptes.com/d/. Each link is made for the person or team we send it to, so we know whose link was opened. The page reports when it's opened, when the video starts, how much of the video is played (a quarter, half, three quarters, all of it), and whether its booking button is clicked. With each report we store the IP address, the approximate location and network we look up from it, the browser's user agent, the page you came from, and a random ID for that visit. We get an email when a link is opened, when three quarters of the video has played, and when the booking button is clicked.

This reporting is part of the demo page, so it works whatever you choose in the privacy banner. The visit ID lives only in the open page, not in a cookie, and is gone when you close the tab. Link previews in chat and email apps don't count as views.

When you scan a QR code we sent

Some of our outreach comes with a printed QR code. Scanning it opens an address on zynoptes.com/c/, which records the scan (the time, the IP address and the approximate location and network we look up from it, your browser's user agent, and the referring page), emails us, and forwards you to a page for your company. That page's address carries campaign tags, so if you accept analytics, the visit is attributed to the code. The page also embeds Calendly's scheduler, which loads Calendly's own code and can set Calendly's cookies.

From other sources

When we reach out to a company, we use professional information that's publicly available: names, roles, work contact details, and what the company has said publicly about its robots, its hiring or its funding. We find it on company websites, job postings, news coverage and LinkedIn.

How we use it

  • To run the site, keep it secure, and stop abuse.
  • To reply to you, schedule calls, and send what you asked for.
  • To send the newsletter, if you subscribed.
  • To reach out to companies we think we can help, and to know when to follow up, which is what demo-link and QR-code activity tells us.
  • To learn how the site is used and make it better, if you accepted analytics and session recording.
  • To meet legal obligations and protect our rights.

We don't make automated decisions about you that have legal or similarly significant effects.

Legal bases in the EEA, UK and Switzerland

  • Consent for analytics, session recording and the newsletter. You can withdraw it at any time.
  • Contract, or steps you ask for before one, to schedule calls and answer requests.
  • Legitimate interests to run and secure the site, and for business outreach and its follow-up, including demo links and QR codes. You can object at any time, and we'll stop.
  • Legal obligation when the law requires us to keep or disclose something.

Until you make a choice, this site sets no cookies of its own. These are the cookies and storage it uses:

Change your choice at any time with Privacy choices, here or at the bottom of any page. If you switch from Accept to Decline, the tools stop loading from your next page view. Cookies they already set stay until they expire or you clear them in your browser's settings.

Pages that embed Calendly's scheduler can also set Calendly's own cookies.

Browser privacy signals

This site doesn't change what it does in response to Do Not Track or Global Privacy Control signals. Whatever your browser sends, analytics and session recording stay off unless you click Accept.

Who we share it with

We don't sell personal information. These companies handle it on our behalf, to provide their service to us:

Amazon Web Services
Hosts the site.
Neon
Hosts our database: newsletter signups, requests, and demo-link and QR-code records.
Resend
Sends our email, from newsletter confirmations to our own alerts about requests, demo links and QR codes.
Google Workspace
Runs our email inboxes.
Calendly
Books calls.
ipapi.co
Turns IP addresses into an approximate location and network for demo-link and QR-code records.
Google Analytics
Measures how the site is used. Only if you accept.
Contentsquare
Records visits so we can replay them. Only if you accept.

Google also uses data it collects through Analytics under its own privacy policy, including for advertising features where Google signals applies (see how Google uses information from sites that use its services). Some US state privacy laws count that as “sharing” personal information, which is one more reason analytics stays off until you accept. Contentsquare and Calendly describe their own practices in Contentsquare's privacy policy and Calendly's privacy notice.

We may also disclose information when the law requires it, to protect someone's safety or our rights, or as part of a merger or acquisition. If that happens, we'll tell you before your information falls under a different privacy policy.

How long we keep it

  • Newsletter: until you unsubscribe.
  • Emails, requests and booking details: while we're in touch, and afterward for as long as we reasonably need them for our business records.
  • Demo-link and QR-code records: while they're useful for following up with your company.
  • Rate-limit counters: up to an hour, in memory only.
  • Google Analytics: Google deletes event-level data after 14 months at most.
  • Contentsquare: kept for the retention period of our Contentsquare plan, then deleted.

Ask, and we'll delete your information sooner, unless the law requires us to keep it.

Your choices and rights

You can, at any time:

  • switch analytics and session recording on or off with Privacy choices
  • unsubscribe from the newsletter
  • ask us to stop contacting you
  • ask what we hold about you, and get a copy
  • ask us to correct or delete it
  • object to how we use it, or ask us to limit it

Write to founders@zynoptes.com, from the address in question if you can. We may ask for something that confirms the request is yours. We reply within 30 days, and asking won't change how we treat you. Someone you authorize in writing can make a request for you.

In places like the EEA, the UK and California, these are legal rights, and you can also complain to your data protection authority. We'd like the chance to fix the problem first.

Security

The site is served over HTTPS, and only the people at Zynoptes who need your information can get to it. No system is perfectly secure, so if a breach affects your information, we'll tell you as the law requires.

Where it's processed

We're in the United States, and our service providers process data in the US and elsewhere. When we transfer personal data out of the EEA, the UK or Switzerland, we rely on safeguards such as the European Commission's Standard Contractual Clauses or the provider's certification under the Data Privacy Framework.

Children

This site is for people who build robots for a living. It isn't meant for children, and we don't knowingly collect information from anyone under 16. If you think a child has sent us their information, tell us and we'll delete it.

Changes

When we change this policy, we update the date at the top. If a change is significant, we'll also say so on the site and email newsletter subscribers.
